How to set up WhatsApp for Patient Enquiries

How WhatsApp messaging works for patients

If a patient clicks the WhatsApp icon on your profile:

  • On mobile: WhatsApp app opens with a new draft message to your number. The patient just needs to tap send, though they can edit the message first if they wish.

  • On desktop: WhatsApp for Web opens in a new browser tab ith a new draft message pre-filled to your number. The patient just needs to tap send, though they can edit the message first if they wish.

The message is automatically translated into the local language of the website the patient is viewing.

Example message for specialists: "Hi [Specialist Name]! I found your profile on Doctify and would like to make an inquiry at [Practice Name]."

Example message for practices: "Hi [Practice Name]! I found your profile on Doctify and would like to make an inquiry."

How to add WhatsApp to your profile for patient enquiries.

For clinicians:

  1. Log in

  2. Go to My Clinics

  3. Select Edit

  4. Enter your WhatsApp number in the WhatsApp Number text field

  5. Select Save

If you work across multiple clinics or practices, you have the following options:

  • Set a single point of contact: One WhatsApp number applied to all your clinics.

  • Set a Whatsapp number per clinic: This is useful if you want different WhatsApp numbers for different locations.

For practices:

  1. Log in

  2. Go to Edit Profile

  3. Enter your WhatsApp number in the WhatsApp Number text field

  4. Select Save

Do I need a WhatsApp Business account?

No, your number does not need to be linked to a WhatsApp Business account for this to work. You can use your existing personal or practice contact number.

What WhatApp number should I use for patient enquiries on Doctify?

We recommend using your existing WhatsApp number, unless you would prefer to provide an alternative. For example, you might want to create a WhatsApp number dedicated solely to Doctify enquiries. This can make it easier to track how many WhatsApp enquiries are coming specifically from your Doctify profile, separate from any other WhatsApp traffic.

What happens if I enter a number that cannot receive WhatsApp messages?

If the number added cannot receive messages, such as a landline or a mobile without WhatsApp installed, the patient's message will fail to deliver. This can result in missed enquiries, so please double-check the number is WhatsApp-enabled before adding it.

Can I track how many enquiries come through WhatsApp?

WhatsApp enquiries will count towards your Enquiries number, which you can view on your dashboard.

Does Doctify store the patient's phone number?

No, the conversation happens directly within WhatsApp, between you and the patient. Doctify does not capture or store the patient's phone number.

Can patients still contact me by phone, email, or my website?

Yes, WhatsApp is an additional contact method alongside your existing phone, email, and website url options. It does not replace them.
