Implement an effective strategy to capture feedback

Each practice and each clinician is different including the type of communications they rely on (emails, post, phone calls, SMS), type of appointments they have (face-to-face, video, phone calls), and more.

There are various review collection methods designed for different situations and preferences. Here are the most effective strategies.

1. Automation is the best way to ensure feedback collection at scale and save time.

If you use Practice Management Software (PMS) you can set up automated emails and SMS messages with your review links sent straight after an appointment.

  • To find your review link: go to your Dashboard - > ‘Get Reviews’ - > ‘Review link and QR code’ - > copy the link.

  • Create a template in your PMS and send a test email and/or SMS vto yourself.

We suggest including why you collect feedback in the review invitation emails.

It can be an improvement of the care you provide, helping patients find the right treatment, or anything you see important personally for you.

2. For clinicians who don’t have PMS, the most effective approach to capture feedback is to combine a couple of methods.

2.1 ) a time-efficient option of including the Review link and/ or review QR code with a short message about the importance of reviews at the bottom of the Clinical Letter;

  • To find your review link and QR code: go to your Dashboard - > ‘Get Reviews’ - > ‘Review link and QR code’

2.2) a more proactive option (with the highest response rate) of using the Doctify Review App to capture feedback in the clinic on your device or send SMS messages with your Review Link from the Doctify number.

  • To access the Doctify Review App: go to the App Store (for iPhone) or Play Store (for Android) and download the Doctify Review App.

  • You will find the login information (Review Code) for the App in your dashboard: ‘Get Reviews’ - > ‘Review App’.

  • Type the Review Code, or click ‘Scan the QR code’ in the App and scan the App login QR code in your dashboard.

  • Choose 'Use this Device' to get feedback during an appointment and give your device or click 'Review Us Later' to send SMS messages with your Review Link from the Doctify number.

3. When clinicians have a very tight schedule, they rely on giving out QR codes to each patient.

The majority of clinicians collect feedback from all their patients (public and private care) to establish Trust and Transparency.

Printing out multiple copies of leaflets with a short message and a QR code and handing them over saves time during a consultation and doesn't require any follow-up.

  • To find your QR code: go to your Dashboard - > ‘Get Reviews’ - > ‘Review link and QR code’ - > do the right click - > 'Copy Image'.

  • In a Word document, write 2 sentences reminding patients that you are collecting anonymous feedback, explain why it's important, and mention that it will take 1 minute.

  • Paste the QR code that you copied from your Dashboard, save the document, and print out as many copies as you need.
