Every practice and clinician is unique—whether it’s the way they communicate (email, phone, SMS, post) or the type of appointments they offer (face-to-face, video, phone). That’s why it’s important to choose a feedback collection method that fits seamlessly into your workflow.

Here are the best strategies to make gathering reviews simple and effective:

1. Can I Automate Feedback Collection?

Absolutely! Automation is the most efficient way to collect reviews at scale without adding extra work to your day.

If you use Practice Management Software (PMS), you can set up automated emails or SMS messages with your review link sent straight after each appointment.

Find your review link:
📍 Go to your Dashboard → ‘Get Reviews’ → ‘Review link and QR code’ → Copy the link.

💡 Tip: Create a message template in your PMS and send a test email or SMS to yourself first. To encourage responses, mention why feedback matters—whether it's improving patient care, helping others find the right treatment, or something personally important to you.

2. What If I Don’t Use a PMS?

No problem! You can combine different approaches to fit your workflow:

📍 Find your review link and QR code in your Dashboard → ‘Get Reviews’ → ‘Review link and QR code’.

  • Download it from the App Store (iPhone) or Play Store (Android).

  • Find your login details (Review Code) in your Dashboard → ‘Get Reviews’ → ‘Review App’.

  • Enter the Review Code or scan the login QR code in your Dashboard.

  • Choose ‘Use this Device’ to collect reviews during an appointment or ‘Review Us Later’ to send an SMS.

3. What If I Have a Busy Schedule?

If time is tight, handing out QR codes is the fastest and easiest way to collect feedback.

Many clinicians collect reviews from all patients—both public and private—to build trust and transparency.

  • Print multiple copies of a leaflet with a short message and your review QR code.

  • Hand them to patients during consultations—no follow-up needed!
